The Exhibition Opening Times are:
Build-up
| Sunday 7th:
Build-up commences 1.30pm - 10.30pm (Shell
schemes & electrics should be completed by 1.30pm)
The Exhibition Hall open at 7.30am - 9.00am on
Monday 8th for final stand fitting.
The duty electrician will be available at all
times during the build-up and for the duration of the event, contact via

All Display Equipment must be cleared and
removed from the Hall by 5.30pm.

Access to the Exhibition:
Each exhibitor will be issued with an
Exhibitors Pass which must be displayed at all times.
Failure to wear the pass may exclude
individuals from the catering and coffee areas.
Delegates from the Exhibiting companies may
have two passes, one to gain access to the Scientific Talks and meals and
one for when they are working on the stand.

Security:
24 hour walk about security. The Hall is locked
between the hours of 7.30pm and 7.30am.
Whilst this is a service provided for the
general security of your equipment.
You are advised to secure valuable and
essential equipment over night for your own peace of mind.
p
Manning the Stand:
Exhibitors are requested to be ready for the
opening times and if possible for the duration of the open times.
Smaller companies juggling the stand and
delegate positions should try and man their stands during the main live
periods.
A timetable will be issued to help with this.
p
Storage:
There is limited storage available for boxes
and crates. If we use it economically there should be no real problems.
Where there is space behind the stands, this
may be used for storage of fold-down boxes etc.
p
Stand Cleaning:
On the first day the stands will be cleaned
prior to the opening of the Event.
Exhibitors are requested to make sure that all
crates etc, are removed from the hall before the opening time.
If you have accumulated rubbish on the stand
during the event, please gather it up and place in the bags supplied and
place in the aisle at the end of each day.

Live Demonstrations:
If you wish to run a demonstration of any kind,
please advise the organisers in writing who can then pass the information to
Health and Safety for approval.
No chemicals, gasses or combustible materials
may be used in the Exhibition Hall.
p
Advance Deliveries:
Those companies wishing to send equipment to
the University (not earlier that one day prior to the build-up) should
advise the organisers who can make special arrangements with the University
Conference Department to make sure consignments are signed for and safely
stored ready for use.
p
Shell Schemes:
Each stand is sold as a shell scheme with
velcro receptive, flush fitting panels in blue and light grey.
Two power sockets and florescent or spot
lighting behind the Fascia.
Stands are 2.25m high and panels are 1m and
0.50m wide.
The fascia is .25m high. Most corner and end
stands have two open sides with fascias.
Your company Name and Stand number will appear
on each Fascia. (See the FloorPlan to make your stand selection).

Flooring:
The floor covering in the Exhibition area is
neutral (Beige) coloured carpet tiles throughout.
Alternative overlay carpeting is available
through the official flooring and stand furniture contractors
EuropaInternational.
p
Furniture:
University stock Tables and chairs are
available for hire, it is necessary to bring a table covering (fire
resistant material) to cover any blemishes.

Locking cabinets and shelving can also be hired
from the Stand Contractors, Phoenix Display Ltd. together with any special
stand extras.

Electrics:
All power points, lighting and electrical
requirements are provided by Start Lighting.
We have a qualified electrician on site for the
duration of the event in case of any problems with power supply, light bulbs
etc.

AV Equipment Hire:
Plasma Screens etc can be hired at a special
rate via the organisers. Details will be provided soon.
All electrical equipment must be Pat Tested.
More and more large screens are now being
introduced to this event so we would remind exhibitors that excess volume on
the devices can disrupt meetings on adjacent stands so please be
considerate.

Catering for Exhibitors:
There are a number of eating facilities
available on-site, the Students Union Bar will be open at lunch times and in
the evening.
We will supply information on your stand at the
start of the event. Things have a habit of changing at the last minute in
these places.
Meal tickets are available for purchase from
the Conference Organisers.
For early booking of this facility contact Anna

management company is appointed to co-ordinate all aspects of the
Conference.

Those exhibitors wishing to attend the Dinner
on the Tuesday evening (somewhere in York) should contact Anna Upton.

Thanks to the endless generosity of the
Exhibiting companies, the BMSS is able to provide a comprehensive social
programme for the delegates.
A full list will be provided for those of you
who wish to contribute to the continued success and enjoyment of the event.

Competitions and Prize Draws:
We welcome any attempt to entice delegates to
your stand time and time again, so please be as creative and adventurous as
you wish.
We are hoping to replace the now outmoded
PaperChase Quiz with something more manageable, so if anybody has any
ideas...we are all ears.
Please let the Exhibition Organisers know what
you are planning so that we can help promote the activity.

Car Parking on site:
Parking is limited so exhibitors are advised to
bring as many people as you can in one car on the days of the event.
During build-up and knock-down, please do not
clog up the single access route to the exit doors.
Exhibitors are requested to stagger their entry
times into the Hall to ensure no gridlock occurs. Thank you!
For Exhibitors wishing to park for the day,
there will be a charge.
Please contact Anna Upton for details and a
pre-paid Parking permit for your vehicle or Pay & Display tickets can be
purchased on a daily basis. (Clamping is actively practiced on the site).
Restrictions are lifted between the hours of
18.00 and 24.00 each day including weekends.

The University does not provide any lifting
equipment so you are advised to use a tail lift truck wherever possible to
ensure safe, simple delivery and collection.
The loading doors are level with the pavement
and exhibition for easy access.
The access doors are 2.5m wide and 2.38m high
for those of you who may wish to bring in large pieces of equipment.
